Manage your Engagement Letters

How to manage your Engagement Letters using the dashboard filters and features.

From your dashboard, you can manage all your Engagement Letters. This includes:

  • understanding the status they currently hold

  • if they have been signed and if they haven't who you are waiting on

  • take multiple actions such as duplicating, editing and resending.


Here’s a breakdown of the features you can use to search for Engagement Letters:

The search bar

This is where you can search specific data to find existing Engagement Letters.

Status filter

This will allow you to filter by status of your Engagement Letters. For a breakdown of what each status means, see further down this help article.

Date created filter

this will allow you to search Engagement Letters that were created in a specific time frame.

Staff filter

This allows you to search Engagement Letters that have been created by a specific staff member.

Principle in charge filter

This filter allows you to search for Engagement Letters that have a specific principle in charge.

Person responsible filter

This filter allows you to search for Engagement Letters that have a specific responsible person.


Here’s a breakdown of the dashboard headings:

Company

This column provides the company name.

Status

There are 4 statuses:
Live, Draft, Won and Lost.

This column provides us with the status of the Engagement Letter, so we can review and take action as required.

Live – represents that an Engagement Letter has been sent but not signed.
Draft – shows for an Engagement Letter that has been created but not yet sent. This means you can come back and edit the Engagement Letter later, before sending.
Won – represents that an Engagement Letter has been signed. This status updates automatically once the client signs the Engagement Letter, however you can look to manually mark an Engagement Letter as won too using the actions on the dashboard.
Lost – the lost status represents that an Engagement Letter is no longer active or no longer needed. To mark an engagement letter as lost, this has to be done manually using the actions on the dashboard.

Date Created

This column shows the specific date an engagement letter was created. All Engagement Letters are in date order, with the most recent at the top.

Created By

This column shows which team member created the Engagement Letter.

ID

This column shows the individual ID for each Engagement Letter.



The Actions Button

There are a variety of actions that can be carried out on your engagement letters using the Actions button. The Actions button is visible to the far right on all Engagement Letters.

When you click on the actions button, the actions menu will appear. The options you see on the menu will differ depending on the status of your Engagement Letter.

Here’s a breakdown of all the actions you can perform:

View Details

This will bring up all the details for this Engagement Letter including the services selected, email content and a timeline of actions.

Download PDF

This will allow you to download a copy of the Engagement Letter to your computer.

Edit

This will allow you to edit an Engagement Letter. This option is only available if the Engagement Letter status is ‘live’ or ‘draft’.

Duplicate Letter

This will allow you to duplicate the existing engagement letter
to produce a new one.

Re-send Letter

This allows you to resend your Engagement Letter.

Mark as won

This will allow you to manually mark an Engagement Letter as won. This option is not available if the Engagement Letter is draft.

Mark as lost

This will allow you to manually mark an Engagement Letter as lost. This option is only available for live Engagement Letters.

Make live and send

This will allow you to change a ‘draft’ Engagement Letter to ‘live’ and send to the client.

Delete

This allows you to remove Engagement Letters you no longer want to store on your dashboard.

Reset Status

This allows you reset the status of an Engagement Letter, meaning you can make changes to the Engagement Letter document if needed.

View OverSuite Documents

This allows you to view the OverSuite document library, which includes documents such as professional clearance letters and disengagement letters.
