How to set up your contact hub, and use this with your clients.

Adding contacts

The first thing you'll want to do is import or manually add your clients into the Contact Hub.

You can import your clients from the integration you are using within OverSuite. For example, Karbon.

To import these clients, select 'Import from' and click the integration.


FYI:
(1) If you are not connected to an integration, this will not appear on the dropdown.

(2) If you add new clients/prospects to your integrations, this won't auto pull through. You will need to re import your contact list to ensure this is up to date within the Contact Hub.

Any clients already linked to your integrations won't be affected if you re import to update your Contact Hub.

To manually add in a client, prospect or organisation, select the 'Add contact' button.

Once you have added your clients you will see them in a listed alphabetical order.



How the Contact Dashboard works

Within the Contact Hub, you can search for specific contacts using the search bar on your dashboard.

You can also search for contacts based on specific information, using the filter button on your dashboard.
You can filter by:
Contact type: Individual or Organisation.
Category: Prospect, client or missed opportunity.
Renewal date: this month or within 3 months.

If you have any duplicate clients you need to merge, you can do this using the 3 dots button and then clicking the 'merge duplicates' button, which can be found to the far right hand side.


How a Contact's profile works

When you click into a contacts profile, you will be able to view the following sections:

  • Letters of Engagement

  • Contact Details

  • Notes

  • Related Individuals

  • Integrations

  • Danger zone

Here's a breakdown of all the features listed above.

Letters of Engagement

Within this section you can review all the Engagement Letters that have been created for this contact. You can also look to edit, duplicate and view these Engagement Letters.

Contact Details

You can view the details for this contact, including the name of the individual/organisation, phone numbers, Email address, address and category, entity type and renewal date.

If you need to update the details within this area, select the 'edit' button, at the bottom of this section.
If you do edit any of this information, remember to click the save button!

Notes Section

You may need to add in particular notes for a client to refer to easily when viewing their Engagement Letters

By selecting the 'edit' on the Notes section, you can add in a note.

By selecting '+add' this will bring up the todays date. Select save to ensure this pulls through.

Related Individuals

You may need to add in the details of a client who is related to this contact, who may not have been added in when creating the Engagement Letter.
This is section is usually in relation to directors/partners who are linked to a company.

By selecting 'edit' beside this section, you can add in the individuals name and position. This can either be removed if incorrect, or saved.

Integrations

Within the integrations section, you can link your clients details to the contact hub. This will automatically link the clients details to the Create Letter of Engagement page when an Engagement letter is to be created.

To link your clients details, select 'edit' and then enter the client's name within the search bar.

Once you have added in their name and, the status below will change to linked.

Then, select save, and this will hold your clients details.

Danger Zone

If you need to remove a client, you can head to the danger zone and select 'delete this contact'.

Within this area, you will be given the option to say I've changed my mind or confirm.

FYI: If you select confirm and delete this client, we will not be able to retrieve their details.

How do I use this on the Create Letter of Engagement page?

Within this page, search for an existing contact within your Contact Hub. If you have a contact you haven't already imported into your OverSuite app, you can search for them within this section and they will pull though.

When searching for a client/prospect, you can either search for someone already within the Contact Hub, or select 'Search more from....'

What happens if I have already linked a client?

If you have already linked your client within the Contact Hub to an integration, this will appear as linked on the Create Letter of Engagement page.
