How to set up the AccountancyManager integration

How to set up the AccountancyManager integration in OverSuite and how it all works.

What Is AccountancyManager?

AccountancyManager helps you to fully systemise your onboarding process by triggering key workflows as soon as the Letter of Engagement is accepted by your client.


How the AccountancyManager Integration works

By Linking up your work templates from AccountancyManager to your Line Items and Templates within OverSuite, this will allow you to manage workflows, communicate with teams and deliver exceptional client work.


This means that when an Engagement Letter is accepted, the relevant work templates can be triggered from the line items that have been included in the Engagement Letter.

You can also pull contacts from AccountancyManager, when creating an Engagement Letter, as well as creating new contacts in AccountancyManager too.


How to set up the AccountancyManager Integration

Before you set up the integration, you'll want to make sure you have set up your work templates in AccountancyManager and then the associated line items (services) in OverSuite.

STEP 1: Head to Settings > Integrations > AccountancyManager.

STEP 2: Obtain your AccountancyManager Access Key.

Login to AccountancyManager and on the main dashboard select Tools > Integrations > GoProposal.
(Please note that although the integration says 'GoProposal' this will link directly to your OverSuite app)

Within 'Next, enter your OverSuite App Name', enter in the business name you gave to your OverSuite app.
For example; eikosprojectsystemslimited

You will find this within your App URL at the top of your screen.

STEP 3: Paste the token into OverSuite.

Paste the token into the AccountancyManager Access Key field on your AccountancyManager integration page.

Don't forget to save your settings so that the connection can be established.

STEP 4: Assigning your line items in OverSuite to jobs in AccountancyManager.

Head to Configure > Line items.

For every service which has a matching work template in AccountancyManager, select edit line.

From the integrations tab, you will see the option to assign the line item to a AccountancyManager work template.

This means that when your client accepts their Engagement Letter containing this line item, this work template will be triggered in AccountancyManager.


Repeat these steps for all of the services you need to associate to work templates.

STEP 5: Triggering workflows for specific templates.

You can also trigger work templates in AccountancyManager where specific templates have been used to create an Engagement Letter.

For example, for a 'new client template' you may choose to trigger your client onboarding workflow if this is setup in AccountancyManager.

To do this, head to Configure > Templates & E-mails and click the 'edit' button on a template.

From the AccountancyManager tab, type in the workflows you'd like to be triggered when an Engagement Letter of this type is accepted.

Save this template once done.


What dates will be pulled through?
The dates entered within the Create Letter of Engagement page will be pulled through to AccountancyManager.



FYI: To make sure your integration works seamlessly, confirm that the email associated with your OverSuite user profile is the same as the email associated with your user profile in AccountancyManager. This allows the assignee to be recognised when the work flow is triggered upon the proposal acceptance.
